Outlook Setup: SMTP and IMAP Settings

SMTP or IMAP are communication protocols that allow you to download incoming emails to your computer and mobile devices. The main difference between using IMAP and SMTP is that when connecting to the email server via IMAP, only the header information of the accumulated emails in the inbox is retrieved by the client. POP3, on the other hand, pulls all messages to the client.

The biggest advantage of IMAP is that the changes you make are synchronized across all devices. For example, when you move an email to a folder named “ABC,” this is also applied to your other devices connected to the system at the same time. So when you connect with your smartphone, you can see that the email has been moved to the “ABC” folder. This is not the case with POP3.

Account Setup in Outlook

  1. Add Account
     

    Open Outlook and click File > Add Account.
    Enter your email address.
    Check Advanced Options > Manual Setup.

    IMAP instead of POP.
    IMAP stores your emails on the server and allows access from different devices.
    POP downloads emails and usually stores them on a single device.
